1. When you first enter the Bank Deposits option a Select A Checking Account window will appear:
Scroll to the appropriate checking account and press Enter to confirm your selection.
2. A Deposits table will display. Select the ADD option by highlighting the box to the left of ADD and pressing Enter. An asterisk will appear indicating the option has been selected. Press F10.
3. At the Date field, enter in the appropriate deposit date or press Enter to accept the current system default date (today's date).
4. At the Period and Year fields, enter in the appropriate deposit period and year or press Enter to accept the system defaults.
5. A window will appear displaying all un-deposited cash applications and miscellaneous cash receipts entered in the system for the checking account you previously specified. Select the appropriate un-deposited checks to be included in this deposit by highlighting a line item and pressing Enter. The system will assign an asterisk next to the un-deposited check to indicate that it has been selected. Repeat this process if you want to include other un-deposited checks for this deposit or press F9 to tag all un-deposited checks. Once you have finished with your selections, press F10 to proceed.
Note: If you select an option that has already been selected, the asterisk will disappear.
6. Enter the Over/Short amount for any cash over or under when reconciling the actual invoice amounts paid to the net cash received. The amount entered here will post to the account specified in the cash/over under account in Ledger Options. This option is only available if there is an account number specified in the cash over/short account.
7. Enter the actual deposit amount if the net deposit amount is different than the actual total of the invoice selected to adjust the actual deposit for the amount of money added to your cash drawer or deposited from your cash drawer. The difference will post to the cash drawer account in Ledger Options. This option will only be available if there is an account number specified for the cash drawer account.
8. Command options will appear: Update, Change, Exit. If you select Update, the system will update this deposit. If you select Change, you can re-select which checks to include on the deposit. If you select Exit, the system will exit without updating the deposit.
9. Select Update to save the deposit.
Important: Your work will not be saved unless you select Update.
10. "Print deposit slip – Yes/No" will appear; select yes to print, no if you do not wish to print.
11. "Space Bar to Continue" will display. Press the space bar.
12. Command options will appear allowing you to print or choose from a set of other print options.
